Director of Operations Job Description
This is a dynamic opportunity to play a central role in Root and Bloom Institute (RBI), opening in April 2026. RBI is a mission-driven community space that supports transformative trainings and experiences for individual and collective healing. The Director of Operations will work within a community of professionals and participants engaged in somatic and expanded states work, helping to build a supportive and inspired culture within shared RBI values and culture.
The Director of Operations will play a key role in developing and evolving systems for the smooth day-to-day operations of Root and Bloom Institute, while ensuring a warm, welcoming experience for all guests, group facilitators, and lease tenants. This role combines administrative, operational, and relational responsibilities, supporting individual therapists in leased offices, groups renting spaces for trainings and workshops, and building community both in person and on social media platforms. The Director of Operations will work closely with the Managing Director, and more broadly with other key advisors in this development.
This is a new position, and will require creativity, flexibility and adaptability as systems are developed and best practices are established within a dynamic community. Work schedule will often be directed by in-house events, including evenings and weekends, and may include split shifts (more than one block of time at the office per day). Over time this position may evolve into greater responsibility and oversight of other employees.
Key Responsibilities:
- Serve as the primary on-site contact for all tenants, facilitators, and visitors, fostering a welcoming and professional environment
- Manage scheduling, reservations, and coordination of group spaces and events. Work with RBI team on marketing/outreach to ensure optimization of rentals/leases, holding more responsibility over time.
- Maintain the physical space, ensuring cleanliness, safety, and readiness for programs.
- Execute administrative tasks, including tenant agreements, billing, and documentation.
- With Managing Director, monitor and support the center’s operational budget, including expense tracking and reporting.
- Assist with marketing efforts: social media, email communications, and event promotions.
- Build and maintain strong relationships with staff, tenants, advisors, therapists, facilitators, and community members that encourage mutually beneficial partnerships and collaboration.
- Address operational issues promptly and directly or through advising with team members when necessary.
- Maintain a dependable schedule consistent with needs of tenants/guests, including some weekends and evenings.
- Constantly assess for areas of improvement. Recommend, develop, and implement effective processes/procedures to enhance/increase operational efficiencies.
- Participate fully in performance management: engage in ongoing communications about performance, seek and respond to feedback, develop comprehensive annual Work Plans, and demonstrate commitment to growth over time
- Perform other functions and duties as requested
- Exercise sound judgment and use proper discretion in handling confidential and sensitive information on behalf of RBI, including but not limited to confidential information about tenants, clients, donors and partners.

Desired Qualifications & Experience
- Excellent administrative skills with meticulous attention to detail.
- Proficiency and comfort with a variety of software tools – including Excel, Canva, MailChimp, Quickbooks, Google Workspace, online reservation system, CRM software and more – and ability to learn new systems and assist others in using them.
- Basic marketing experience, including social media and email communications.
- Comfort and skill in co-managing budgets and operational logistics.
- Prior experience in facility management, wellness, education, or community spaces preferred.
- Familiarity and/or comfort in learning A/V technology

Work Environment and Physical Demands
Work takes place in an office and event setting indoors, and involves frequent computer work, standing, walking, and light physical activity. The employee must be able to move between rooms, up and down stairs, and lift or carry materials within the building up to 30 pounds, and operate standard office and a/v equipment.
Compensation & Benefits
Salary for the role is anticipated to start within the range of $90,000 to $114,400, commensurate with experience. VWC offers the following employee benefits:
- $500 monthly health care stipend
- 11 days paid time off
- 8 holidays per year (including two flex-holidays)
